Guidelines for EVER 2019 Special Interest Symposium (SIS) Proposals

As a benefit of your EVER membership it is our pleasure to invite you to submit a SIS Proposal for EVER 2019.

Each scientific section of EVER is encouraged to organise at least one Special Interest Symposium (SIS) during each EVER congress. The Section Chair will monitor the number of SIS submitted from each section. If it may prove necessary to merge the SIS proposals in the section, this will also be the role of the Section Chair and his/ her Programme Secretary to follow this up.

A SIS is envisaged to be a symposium with a unifying theme put together by a named organiser, but with the active and willing voluntary participation of nominated speakers.

Topics, which appeal to, or are co-proposed with, other EVER sections have the best chance of being accepted in case there are more proposals than can be organized in one meeting.
Preference may then be given to organisers, speakers and topics that were not represented in the immediately preceding congress. We aim in particular to encourage prestigious speakers and basic scientists and those who have not previously spoken at EVER to attend.

SIS structural rules:

- Each SIS has a duration of 75 min.
- Each SIS has a maximum of 5 and at least 3 speakers.
- Each SIS should have two Chairs - these may also be organisers and /or speakers.

Sponsorship:

Each SIS organizer is encouraged to obtain sponsorship from a commercial company. If the SIS is sponsored, the sponsorship should cover the following:

  • 7.000 EUR as a contribution to the general expenses of running the SIS during the EVER meeting (this will include the meeting room required for the SIS)
  • plus the appropriate amount of funding to cover the following expenses for the SIS contributors you will invite:
    • registration
    • accommodation
    • travel

The sponsoring company is kindly requested to pay the 7.000 EUR directly to EVER. In return, the name and logo of the SIS sponsor will be printed in the programme and will be mentioned in the congress app. Late payments will forfeit inclusion in the programme book and the EVER app.

All SIS organisers:

- must discuss the SIS outline with their Section Chair and Programme Secretary and work closely with them
- must ask approval by the Section Chair to organise this SIS
- must inform all potential speakers that they must be EVER member 2019
- must inform all potential speakers in their SIS as they need to be aware that they have been put forward and agree at least in principle
- must remind all speakers involved in their SIS
- must provide all the information requested in the online submission form (one form per proposal)

All SIS speakers:

- must be an EVER member for 2019. Membership is compulsory to be able to submit a summary.
- must submit a summary of their presentation via the online submitting procedure between February 14 and March 21, 2019
- must register and pay to attend the EVER 2019 congress.
- must organise their own travel and accommodation

If a SIS speaker has a commercial interest in either a product or equipment being promoted at a SIS then it should be declared in the summary submission form and in the presentation itself.

All SIS organisers and SIS speakers will get a confirmation by February 14.

Timeline:

- Dec, 2018 to Jan 21, 2019: SIS Proposals open on the EVER web site. Proposals received after the deadline will NOT be considered.
- Jan 26, 2019 EVER Board Meeting: PRELIMINARY selection of SIS for each Section will be approved.
- Feb 14, 2019 to March 21, 2019: SIS Online summary submission process for all SIS Speakers opens – membership required. No summaries = no SIS!
- April 10, 2019: Approval of SIS in the provisional programme by the Programme Secretary
